SAGE2GO LTD ("we", "us", "our"), trading as SAGE, is the data controller responsible for the personal information described in this policy.

2. What this policy covers

This policy explains what we do with the personal information you give us when you complete an enquiry form on our website or landing pages, when you contact us about wholesale or private label opportunities, or when you meet us at a trade show and ask us to follow up.

3. The information we collect

When you complete one of our enquiry forms, we collect:

  • Your first name and last name

  • Your company name

  • Your email address

  • Your phone number (optional — you do not have to provide this)

  • The nature of your interest, for example stocking our products, private label, or a general enquiry

  • Whether you have chosen to receive marketing emails from us

Our forms are hosted by Klaviyo. When you view or submit a form, Klaviyo may also collect technical information including your IP address, browser type and device information, and may set cookies so that the same form is not shown to you repeatedly. Our website is hosted by Framer, whose servers keep standard access logs that include IP addresses.

We do not knowingly collect any special category data, and we ask that you do not send us any through these forms.

4. How we use your information, and our legal basis

Under the GDPR we must have a legal basis for using your personal information. Ours are set out below.

Responding to your enquiry and answering your questions. Legal basis: legitimate interests - replying to someone who has asked to hear from us.

Sending you trade information such as price lists, product specifications or samples that you have requested. Legal basis: legitimate interests, or steps taken at your request before entering into a contract.

Contacting you by phone or email to discuss a potential wholesale or private label arrangement. Legal basis: legitimate interests - developing relationships with prospective trade customers.

Sending you marketing emails about our products, news and offers. Legal basis: your consent, where you have given it.

Keeping records of enquiries and of consent given or withdrawn. Legal basis: legal obligation, and our legitimate interest in being able to demonstrate compliance.

Keeping our forms and website secure and working properly. Legal basis: legitimate interests - security and service integrity.

Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights and freedoms, and we do not believe they are, because you have actively contacted us and would reasonably expect a reply.

5. Marketing

We will only send you marketing emails if you have ticked the box asking us to. Replying to your enquiry, sending you a trade price list you asked for, or following up on a conversation we have had is not marketing, and we may do that whether or not you have opted in.

You can withdraw your consent at any time, either through the unsubscribe link at the bottom of any marketing email or by emailing reidin@sageproducts.ie. Withdrawing consent will not affect our ability to reply to an enquiry you have made, and does not affect the lawfulness of anything we did before you withdrew it.

6. Who we share your information with

We do not sell your personal information, and we do not share it for anyone else's marketing purposes.

We use a small number of service providers who process personal information on our behalf under written data processing agreements:

  • Klaviyo, Inc. - email marketing and form hosting

  • Framer B.V. (Netherlands) - website and landing page hosting

We may also disclose information where we are required to do so by law, or to establish, exercise or defend legal claims.

7. International transfers

Klaviyo is based in the United States, which means your information may be transferred outside the European Economic Area. Framer B.V. is established in the Netherlands but delivers its hosting service using Amazon Web Services infrastructure, which may also involve processing outside the EEA. Where that happens, the transfer is protected by appropriate safeguards recognised under the GDPR, such as the European Commission's Standard Contractual Clauses or the EU–US Data Privacy Framework. If we transfer information relating to individuals in the United Kingdom, the UK International Data Transfer Addendum or the UK Extension to the Data Privacy Framework applies. 8. How long we keep your information

We keep enquiry records for 24 months from your last contact with us, after which we delete them, unless you have become a customer or we have an ongoing conversation with you.

If you have opted in to marketing, we keep your details until you unsubscribe, or after 24 months of no engagement with our emails, whichever comes first. We keep a record of consent given or withdrawn for six years, because we may need it to demonstrate compliance.

Where you become a trade customer, we keep records for as long as needed to fulfil the relationship and for six years afterwards to meet accounting and tax requirements.

9. Your rights

Under the GDPR you have the right to:

  • Be informed about how we use your information - this policy

  • Access a copy of the personal information we hold about you

  • Rectification of information that is inaccurate or incomplete

  • Erasure of your information in certain circumstances

  • Restrict processing in certain circumstances

  • Data portability- receive certain information in a machine-readable format

  • Object to processing based on legitimate interests, and to direct marketing at any time

  • Withdraw consent at any time where we rely on it

10. Cookies

Our landing pages use only the cookies necessary for our forms to work correctly, including remembering whether you have already seen or submitted a form.

11. Security

We take appropriate technical and organisational measures to protect your information, including access controls on the systems that hold it and contractual security commitments from our service providers. No transmission over the internet is completely secure, but we take reasonable steps to protect information once we receive it.

12. Complaints

If you are unhappy with how we have handled your information, please contact us first at reidin@sageproducts.ie so that we can try to put it right.

13. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed. Where changes are significant, we will take reasonable steps to bring them to your attention.
